Must demonstrate a service-oriented attitude, displaying diplomacy and tact.<br/><br/><u>Responsibilities:</u><br/><br/>* Organizes and controls the Clinic's receipt, storage, and distribution functions to ensure timely delivery of supplies to areas of need. Organizes and controls the Clinic's centralized procurement function to ensure cost effective, high quality goods and services. Works cooperatively with Finance to ensure adherence to generally accepted accounting procedures. Monitor inventory controls in all departments to maintain accurate inventory and to ensure stocking levels are adequate for seasonal demands. Oversee and advises concerning the product evaluation process for brand preferences, product information, quality and quantity; suggesting alternatives when appropriate. Oversee the required price changes to ensure timely and efficient changes are made. Monitor current authorization process to ensure compliance in all departments. Monitor and maintain department procedure for resolving vendor issues on stocked items. Review, verify, and approve vendor invoices.<br/>* Review and coordinate available staff, resources, and equipment needs to provide staff coverage as needed. Determine assignment priority and coordinate schedules as required to maintain efficient and acceptable performance levels in all departments. Maintain Kronos system on all Materials staff and complete weekly Kronos entries. Monitor and maintain employee evaluations as required. Provide direction, discipline, and counseling to all staff to ensure high level of morale and efficient operation. Maintain effective communications with all departments to enhance department and staff unity. Direct and supervise all Materials Management employees when the Director is absent.<br/>* Collect information from pertinent areas and assist management in analyzing data for consistency. Assess effective use of resources and provide recommendations and action plans. Work closely with management and department staff to ensure timely project completions. Demonstrates the ability to analyze situations and displays creativity and resourcefulness in problem solving.<br/>* Establishes, maintains, and recommend procedure revisions as necessary to effect smooth operations. Ensure that all departments maintain an up-to-date departmental procedure manual for training and reference purposes. Implements new programs or alters existing ones as necessary. Works closely with Director in development and preparation of operating and capital budgets, with supportive evidence prior to due dates. Implements new programs or alters existing ones as necessary to operates within departmental budget or provides supportive documentation for variances.<br/>* Obtain a working knowledge of PMM operating system. Coordinate all department staff training on PMM operations to ensure combined and coordinated inter-departmental operations for Materials Management Departments. Collaborate as back up liaison between Materials Management and MIS to ensure system resources are effective and adequate for efficient department operations. Work with MIS to establish and maintains requisition authorization levels to ensure purchasing procedures are followed with regard to limits of authorization.<br/>* Coordinate the use of company vehicles.
